SPECIFICATIONS FOR SHOW APPROVAL


The MHJA will recognize only those barn shows whose management is a current MHJA member. For MHJA members to obtain recognition of a proposed barn show and to qualify as a recognized MHJA show for MHJA end-of-year awards, show management must comply with the following eight procedures:

1. To apply for MHJA recognition, mail a letter of application and an application fee of $50.00 to the MHJA post office box address. An alternate date may also be requested at the time of application, in the event of cancellation of the initial show date (see number 2). The application form and fee must be postmarked 45 days in advance of the proposed show date. Applications will be considered in order of postmarks. Barn shows will be limited to three shows per show year for each barn.

When more than one barn horse show applies for MHJA recognition on the same date, the USAE mileage Rule will apply (MHJA Special Rule 22).

No barn shows will be recognized on a date on which the MHJA is sponsoring a horse show.

2. Receive approval of the show date from the MHJA Barn Show Committee, said date to be acknowledged by the committee by letter or telephone within five (5) days of the receipt of the application. Once approved, a barn show can be cancelled (and money refunded) only for reasons beyond the control of show management, such as inclement weather or cancellation by the judge. If a show must be cancelled and an alternate date has not been designated, show management will be allowed up to two weeks after the date of the cancelled show to request another show date. Show management may utilize the existing prize list, but must inform all members in writing of the rescheduled show date. This written notification must be postmarked at least two weeks prior to the date of the rescheduled show. If a rescheduling request in not received by the Barn Show Committee in the two weeks following the date of the cancelled show, show management must begin anew the entire show approval process.


3. Submit for approval by the Barn Show Committee at least 30 days prior to the horse show:
a. A draft of the proposed schedule
b. The name of the judge, who must be an USAE approved “r” or “R” judge. The same judge may officiate at no more than two barn shows per show year.
c. The name of the show manager
d. The name of the show secretary

4. Receive approval of the information listed above, whereupon, mailing labels, championship sheets, class sheets on which to record results to be sent to the MHJA Points Chairman, and other information will be sent to show management by the Barn Show Committee.


5. Mail a prize list to the judge and all members of the MHJA. The prize list must be postmarked at least two weeks prior to the date of the show. The prize list should contain the following:

a. At least five (5) hunter sections recognized by the MHJA, the MHJA Medal Class, and the MHJA Pony Medal Class. One jumper section may be substituted for one of the required hunter sections. Sections recognized by the MHJA are those sections in which the horse is eligible to receive year-end points. (See MHJA Class Specifications). MHJA approval is contingent on the sections and classes conforming to the descriptions contained herein or in the current issue of the USAE Rule Book.
b. Name, date, and location of show, including directions.
c. Names of the judge, course designer and show manager.
d. Name and address of the show secretary.
e. Entry blank stating entry fees, date of closing of entries, and policy and fees for post entries. If late fees are to be charged for class changes made after registration, that policy should be indicated.
f. Tentative schedule of classes showing fence heights.
g. Number of ribbons offered per class and policy concerning championship and reserve championship ribbons.
h. Statement concerning any restriction of entries.
i. Instructions noting when and where schooling will be allowed.
j. Information as to whether or not concessions will be available.
k. The following statements:

A negative coggins must be presented before numbers will be issued. Coggins must be valid according to the laws of the state in which the competition is held.”

“No one may ride in any class or schooling area without a hard hat. When mounted, junior riders must wear protective headgear in accordance with current USAE rules.”


6. Ensure that the following provisions are available at the show:
a. Ample stabling, with lighting and bedding available for sale (or gratuitously) for all shows lasting longer than one day.
b. Clean water, restroom facilities, and a telephone on the show grounds.
c. A secretary’s office or desk with adequate personnel.
d. Adequate communication capabilities between show personnel.
e. An USAE Rule Book and current MHJA Show Packet for reference.
f. Applications for membership in the MHJA.
g. Back number and string for each exhibitor.
h. Equipment for the accurate measurement of horses and ponies when necessary.
i. An adequate and safe schooling area large enough for two fences.
j. A show ring large enough for at least 8 fences which can be used without endangering horse or rider.
k. Jumps that are sturdy and within the specifications of the USAE for hunter and jumper fences.
l. Courses that are posted at least 1 hour before the start of classes.
m. An awards person to pass out ribbons and prizes.
n. A paddock master at the in-gate.
o. A farrier and veterinarian on call, with their names and telephone numbers readily available.
p. Adequate medical personnel on the show grounds throughout the horse show. The MHJA requires all barn shows sanctions by the MHJA to provide this support. Names shall be posted at the Show Secretary’s desk. Failure to provide medical personnel will result in disallowances of points earned at the MHJA approved barn show. The MHJA disclaims any and all liability for any personal injury incurred by registered riders, visitors, invitees, trespassers or others during MHJA barn shows.

7. Within 10 days after completion of the show, submit to the MHJA, copies of the prize list, class sheets for all classes, medal and pony medal results cards and completed championship sheets indicating all winners through sixth place. For a period of one year, show management must also maintain the official judges cards indicating all placings as a permanent record in the event of future disputes or protests.

8. Report to the MHJA Show Secretary all outstanding money.
